Partner Guidelines
This guide provides a step-by-step overview of the administrative process for the Culture Next Mobility Programme. It explains what members need to do before, during, and after each mobility – both for sending and hosting cities.
1. What the programme is

- Exclusive to full members of the Culture Next network.
- Allows cultural professionals to travel to other member cities to learn new practices and working methods.
- Each member city can:
- Send 3 professionals (to different destinations, at different times);
- Host 3 professionals (at different times).
- Permanent open call: applications can be submitted at any time at www.culturenext.eu
2. How to Apply (Before the Mobility)
- Set up the exchange
- Identify a partner (hosting city).
- Define the topic, objectives, and dates (exact or approximate).
- Complete the online proposal form:
- Information about the sending and receiving cities.
- Details of the organisation or individual going on mobility.
- Specify whether the contract will be with the organisation or the individual.
- Provide estimated costs (daily allowance, travel, possible top-ups).
- Contracting and payments
- If the contract is with an individual:
- 50% paid upon signing; 50% after return and approval of final report.
- If the contract is with an organisation:
- 100% paid only after return and approval of final report.
- Maximum budget per mobility: €1,250.
- Responsibilities
- Sending city / cultural worker: organises travel and covers expenses (via the Culture Next grant).
- Hosting city: books and covers 5 nights of hotel accommodation.
3. During the Mobility
- Recommended duration: 5 to 7 days (including travel).
- Activities may include: site visits, workshops, informal meetings, research, participation in events, etc.
- Documentation required:
- Take at least 5 photos.
- Record 1 short video (30 sec – 2 min) reflecting on the experience.
- Keep all travel tickets/boarding passes.
4. After the Mobility
- Mandatory report submission (online)
- Completed evaluation form.
- Financial declaration (annex).
- 1-page written report.
- 1 short article (500–800 words, personal and reflective).
- Minimum 5 photos (JPEG).
- 1 short selfie video.
- Copies of all tickets/boarding passes.
- Validation by Culture Next
- The Secretariat reviews and approves all submitted materials.
- Final payments are made only after approval.

Before
- Identify partner city and topic.

- Receive initial payment (if applicable).
- Hosting city books hotel.
During
- Carry out mobility (5–7 days).
- Collect documentation (photos, video, tickets).
After
- Submit online report, article, photos, video, and tickets.
- Culture Next validates and approves.
- Final payment processed.
